We have designed this website, www.mycoachministry.com (also referred to as Coach Ministry, Coach Racquel, or Mindfulness in Ministry Masterclass) to be both useful and informative. Office Hours & Availability

  • Office Opens: 10 a.m. - 6 p.m. and Closed: Saturdays and Sundays.

  • No Client Contact: Mondays and Fridays are reserved for internal work. Exceptions may be made only for live productions.

  • Consulting/Meeting Hours: Tuesdays through Thursdays, 10:00 a.m. – 1:00 p.m., by availability and appointment only.

 

Production Submissions & Timelines

  • Weekly Shows: All production materials must be submitted at least 72 hours before the scheduled production date.

    • Pre-production meetings are available 30 minutes before production time.

  • Regular Production Projects: All information and materials must be submitted no later than two (2) weeks before the scheduled production date.

  • Website Design Projects: The design timeline ranges between 3 – 6 months, depending on project complexity, cooperation, and timely submission of content.

  • Monthly Service & Maintenance Updates: Clients must submit all update requests no later than the 20th of each month to be included in the monthly service cycle.

 

Cancellations & Rescheduling

  • Meetings, Consultations, or Productions:

    • Cancellations must be made at least 72 hours in advance.

    • In unavoidable cases, cancellations must be made at least 24 hours in advance.

  • Failure to provide adequate notice may result in forfeiture of fees and/or rescheduling at the company’s discretion.

 

Restrictions on the Use of Online Material

 

All materials on the www.mycoachministry.com website are the copyrighted property of Coach Ministry and our partners, managed by www.mycoachministry.com.

Materials may not be modified, adapted, reproduced, distributed, converted, and/or stored in any retrievable manner, in whole or in part, in any form and in any way, without the express written consent of the copyright holder(s). You may, however, retain a copy of the material for your own personal and non-commercial use only.

This policy applies to all clients, members, consulting clients, and project-based engagements.

If a subsection does not apply to your client category, you may disregard that portion and follow the section relevant to your engagement.

 

1. General Communication Channels (Applies to All Clients)

 

Unless otherwise assigned a project-specific dashboard or branded support email, all communication must be submitted through one of the following official channels:

A. Priority Clients – The 8 Circles Framework (Owners)

 

Clients operating under The 8 Circles Framework who have been issued a dedicated website dashboard must communicate exclusively within their assigned dashboard or through their branded support email (if provided for their specific project).

Failure to use assigned channels may result in delayed response times.

 

B. The Calm Collective (TCC) Members

All Calm Collective and MCM member communications must be submitted through:

Coach Ministry reserves the right to redirect communication submitted through improper channels.

 

4. Response Time Policy

 

Standard response time is 24–72 business hours.

 

Unless 72 business hours have passed without a reply, clients are not required to submit follow-up messages to confirm receipt. All communications submitted through official channels are logged within the system.

 

Submitting duplicate requests through multiple platforms may delay response time.

Repeated premature follow-ups may be deprioritized.

 

5. Professional Conduct & Mutual Respect

 

Coach Ministry operates within a dynamic AI-supported environment. Clients acknowledge and agree that:

• Systems are continuously evolving
• Staff members are professionals—not automated bots
• Instructions provided are procedural and operational—not personal

 

Clients agree to maintain respectful, professional communication at all times.

 

Coach Ministry reserves the right to:

• Redirect unprofessional communication
• Pause engagement until communication standards are restored
• Decline service continuation in cases of repeated hostility or non-compliance

 

6. Operational Responsibility

 

Clients acknowledge that Coach Ministry does not operate their businesses.

 

All systems, dashboards, AI processes, and communication structures provided serve both operational and training purposes to prepare clients for managing their own customer environments.

 

Clients who fail to learn and properly utilize provided systems assume responsibility for operational challenges that arise within their own business infrastructure.

 

7. Policy Enforcement

 

Failure to adhere to this Communication & Support Policy may result in:

• Delayed response times
• Suspension of support services
• Reassignment to general support queue
• Termination of engagement where appropriate

 

Coach Ministry reserves the right to update communication protocols as necessary to maintain operational excellence.
